If a caller presses option 2 for John Smith, the Virtual Receptionist call routing service will transfer the caller to John’s Personal Assistant service.  The following describes the different ways John’s calls will be handled.  John can remotely change his settings 24/7.
 
 
 
 

SAMPLE VIRTUAL PERSONAL ASSISTANT SERVICE DESIGN

 
 
Setting #1: Voice Mail with a zero option to your cellular phone
 

“You have reached John Smith.John is currently unavailable.  If your call is urgent you may press zero now and your call will be redirected.  Otherwise please leave your message after the tone and your call will be returned as soon as possible.  Thank you.” (beep)

 

   If ZERO is pressed the caller will be transferred to your cell phone

 

Setting #2: Voice Mail only mode

“You have reached John Smith.John is currently in a meeting or unavailable.  Please leave a detailed message after the tone.”   (beep)

 

 

Setting #3: Will direct your calls to your cellular phone

“You have reached John Smith’s Personal Assistant.  Please hold while I connect your call”.    > cellular #

 

 

Setting #4: Will direct your calls to your home office

“You have reached John Smith’s Personal Assistant.  Please hold while I connect your call”.     > home office #

 

 

 

 

 

 

Other Features:

  • In voice mail mode, settings 1 and 2, if a message is left in his voice mail our system will notify him of the message on his cellular phone or pager.
  • In voice mail mode, settings 1 and 2, if a message is left in his voice mail he can forward a copy of the message to any other employee’s
    Personal Assistant service and send it with or without his personal comments.
  • The recipient of his internally sent message can record a reply message back to his voice mail by pressing 3 or can transfer back to John’s cellular by pressing 63 in the event the recipient needs to have a conversation with him regarding the message that was forwarded.
