SENDING A MESSAGE FROM YOUR VOICE MAIL TO ANOTHER EMPLOYEE'S VOICE MAIL


The following information is specific for Multi-User environments. The Multi-User class of service will allow you to send messages to other employees, as well as, the forward copies of messages to other employees.


The steps to Send a Message to another employee from your voice mail are as follows:
 

  1. Access your personal voice mail's Main Menu

  2. Press 3 to Send a Message 

  3. Enter the Destination Mail Box number (The destination mail box number is the last four digits of the other subscriber's voice mail number)

  4. Record the message you wish to send then hang up or press # for editing and sending options.

  5. If you Press # to Edit your Message, you will be asked the following:


    Press 1 to Send the message
    Press 2 to Re-record the message
    Press 3 to Append to the message
    Press 4 to Review the message
    Press 9 to Send the message with Future Delivery
    Press # if you do not want to Send the message

 


TAGGING YOUR SENT MESSAGE

If you like the message Press 1 to send it after which you will be asked how you wish to Tag the message.

    Press 6 to tag the message as Listen Only
    Press 7 to tag the message as Regular
    Press 8 to tag the message as Urgent
    Press 9 to tag the message as Private

 

Tagged as Listen Only

Tagging an internally Sent message as Listen Only means the recipient of your message has to hear the entire message after which the message self deletes.


Tagged as Regular
Tagging an internally Sent message as Regular means the recipient of your message will receive the message in first in first out order.

Tagged as Urgent
Tagging an internally Sent message as Urgent means the recipient of your message will hear the message before any other messages.

Tagged as Private
Tagging an internally Sent message as Private is the same as  Urgent Tagging but will not allow the recipient of your message to forward it to another Subscriber.

SENDING A COPY OF THE MESSAGE TO ANOTHER EMPLOYEE OR USER

Sending a Copy of a message is similar to sending a message as described in the previous section.

1. After listening to a message you may forward a Copy to another mail box by pressing 5 in the
Message Menu

2. Enter the 4 digit destination mail box number
3. Press 1 to Send the Copied message without comments or Press 2 to add Comments to the
Copied message.


If you wish to add Comments to the message to be Copied Press 1 then record your Comments after the tone, then Press # to stop recording.

After Pressing #, you will be given the options to edit your Comments, or you can Press 1 to Send the Comments and Message.

After Pressing 1 to send the Comments and Message you will be asked to Tag the message.

After you have Copied the message to another employee's mail box you will have the option to Send an exact Copy of your Comments and Message to someone elses mail box or you can Press # to return to the Message Menu where you may save or delete the original message.
